A COVID SAFE PLAN

 

Working alongside your team of executives and staff we can manage the development, implementation and execution of a COVID SAFE PLAN (CSP) for your event or venue.

 

Having a robust CSP in place will assist in further developing operational plans that will meet all standards and enforceable directions as well as being the practical application of controls and assigned roles and responsibilities.

 

 

RE-OPENING PLAN

 

Along your CSP we can plan with you how to safely re-open your venue, or stage your event by creating and implementing plans and checklists to ensure the venue and all associated equipment and infrastructure are inspected and fully operable prior to reopening from a period of closure due to COVID-19.

 

PROCUREMENT of GOODS and SERVICES PROTOCOL’S

 

As part of reopening a venue or re-staging an event, it is recommended that due diligence and compliance is checked with all aspects of the supply of services and goods in relation to COVIDSafe practices.

 

We can manage the development of a communications strategy to ensure all expectations and requirements of your supply agreements to secure business and industry continuity are met.

 

 

INGRESS, EGRESS, CIRCULATION PLANS and AUTOMATED ENTRY PROCEDURES

 

We can develop guidelines for your show, event or venue to mitigate COVID-19 risks in the flow of patrons and workers into, out of and within venues. This is especially important to formulate around physical distancing regulations.

We can also provide guidance on venue and event access control measures that comply with State or Territory and Federal guidelines and regulations to operate in a COVID-19 safe manner.

 

 

AUDIENCE CODE of CONDUCT

 

Now more than ever it is important that venues and events develop clear communication strategies that will provide their patrons with a clear understanding of the requirements that they need to adhere to when attending a specific event or venue. The support and commitment of patrons is so important to the longevity of our industry  and in the delivery of a successful COVID Safe event and  a clearly articulated Audience Code of Conduct is a vehicle to gain commitment from patrons that highlight their personal responsibility to the health and welfare of themselves, other guests, workers and the wider community.

 

 

DISABILITY ACCESS and INCLUSION

 

Providing up to date accessible communication to all patrons is important to ensure they can prepare and be informed about the event experience. Accessible communication ensures everyone has the same access and opportunity to read information, use websites, attend events, respond in emergency situations and find out about specific COVID-19 protocols across all communication channels.

Review and updating of information relating to disability services and accessibility at events relating to COVID-19 operations will be another important requirement for events and venues and with our expertise in this area we can assist you to review current disabled access requirements and make recommendations for any adaptations needed or a COVID Safe event.

 

 

CUSTOMER SERVICE TRAINING

 

Customer Service Staff, who provide ushering and customer service are key to maintaining a COVIDSafe venue, as they are the front-line staff interacting with the patrons attending events in the venue.

We can arrange comprehensive training for your staff in the relevant COVID specific training modules that will include event plans with information and protocols on how to seat houses and venue preferred customer flows as well as the procedures to follow if a patron feels unwell and where first aid stations are located.

 

We also have access to a wide variety of already trained event staff for your event or venue needs.

BOX OFFICE and TICKETING PROTOCOLS

 

Our combined years of experience in event management and ticketing can help you co-ordinate all socially distanced seating requirements including: checkerboard seating maps, contactless transactions and capacity management in line with state government guidelines. Contract tracing via QR codes and specific health data management protocol’s can also be provided.

 

TERMS and CONDITIONS of SALE and ENTRY

 

To ensure that patrons are aware of any new requirements that apply to them in relation to an event as a result of COVID-19 we can help you review your existing Terms and Conditions of Sale and Entry to ensure you provide full disclosure on any new requirements which are likely to impact patrons as soon and as prominently as possible (incl: e.g., mandatory government directions).

 

STAFF and PATRON HEALTH SCREENING PROTOCOLS

 

It is essential to establish controls to minimise the likelihood of COVID-19 entering the workplace through infected workers and to minimise the risk of transmission within the workplace.

It is recommended workers complete health screening before attending any venue or event.

The Health Screening process adopted by Event Organisers and/or Venue Operators will vary dependant on the risk profile we develop of the setting and the roles that workers may fulfil.

 

In addition the health screening of patrons is also important with signage at the venue reminding patrons of any conditions of entry relating to any health screening requirements and reminding patrons that they must not attend if they are unwell.

 

VENUE CLEAN ZONES

 

The lockdown of key operational areas for talent and workers including the performance spaces and the field of play on event days is another important operation is creating a COVID Safe environment. These areas should undergo rigorous bio security processes when compared to that of other areas of the venue, with an additional layer of accreditation required to access these areas.
